TDS and TCS: what they are, and why timely filing protects you

By FinTax Team · July 15, 2026 · 2 min read

If your business pays salaries, contractors, rent, or commissions above the prescribed thresholds, you are required to deduct TDS at the applicable rate and deposit it with the government. Charge it on the wrong side of a sale and it becomes TCS.

The deduction itself is mechanical. The compliance around it is where businesses get caught.

The two dates that matter

Deposit the deducted tax by the 7th of the following month (April 30 for deductions made in March). File the quarterly return — Form 24Q for salaries, 26Q for most other payments — by the end of the month following each quarter.

Then generate Form 16 for employees and Form 16A for other deductees. These forms are not paperwork — they are how the person you paid gets credit for the tax you deducted.

What late compliance costs

A late filing fee applies per day for each late TDS return, interest accrues on tax deposited late, and continued default can attract a penalty. None of it is deductible — it is the most avoidable money a business spends.

The second-order cost matters more: a wrong or late filing means your deductees cannot claim their credit. Employees wait on refunds; vendors chase you. Your compliance becomes their problem, and your reputation carries it.

Where businesses usually slip

The usual suspects: missing a single month's deduction, paying a contractor without checking whether the threshold was crossed, PAN errors that trigger higher-rate deductions, and never reconciling Forms 26AS with the books.

All four are prevented by the same habit — a monthly check that lines up payments, deductions, challans, and the 26AS before the 7th. Twenty minutes a month versus a year of corrections.

The system that works

Put TDS right into the accounting process: flag deductible payments when they are booked, not when the return is due. Keep challans tagged to the quarter they belong to. Reconcile 26AS every quarter.

If this sounds like a lot of moving parts, that is exactly the kind of rhythm our part-time accounting clients hand to us — and stop thinking about.
